1. INTRODUCTION

1.1 The conference is organised and managed by the Political Studies Association of the UK (PSA)

1.2 All applications to register for the conference, including the purchase of tickets to any of the social events, are made subject to these Terms & Conditions.

1.3 Any references in this document to ‘us’ and ‘we’ refer to the conference organisers (Political Studies Association) and any references to ‘you’ refer to the conference delegate (attendee).

2. BOOKINGS

2.1 Conference registrations are secured once the delegate has finished payment either by credit or debit card on the Ex Ordo abstract management platform, or by bank transfer as detailed on the Ex Ordo platform.

2.2 Payment must be received by 20 March 2023 in order to secure your place at the conference. Mitigating circumstances may be communicated to the PSA office via conference@psa.ac.uk.

2.3 Delegate passes issued for use at the conference are valid for the named attendee only. Places may be transferred only as set out in clause 3.2 below.

2.4 Accepted paper givers must have their registrations finalised by 4 February 2023 or risk having their presentation removed from the programme by the Convening Team.

2.5 The PSA has the right to verify that a booking made by someone at the PSA members' rate is indeed a PSA member and claim additional payment for fee differences.

3. CHANGES TO THE CONFERENCE AND CANCELLATIONS

3.1 It may be necessary for reasons beyond our reasonable control to alter the advertised content, timing and/or location of the conference or the advertised speakers. We reserve the right to do this at any time. Where we significantly alter the time and/or location of the conference, we will provide you with notice of the altered details. Should the full conference be moved entirely to an alternate date the PSA will determine the refund policy and ensure you receive notice in a timely manner.

3.2 If you are unable to attend the conference, we welcome substitute delegates at no extra cost if we have at least 2 days’ notice (to the conference start date) of the name of your proposed substitute and have received payment in full. Notification must be given to the PSA office and needs to be confirmed via email at: conference@psa.ac.uk.

3.3 Where the delegate is unable to attend, and is not in a position to transfer their place, then the following refund arrangements apply:

(i) Registrations cancelled more than two weeks before the PSA Conference will be refunded 50% of the registration fees (less transaction fees);

(ii) Registrations cancelled less than two weeks before the PSA Conference will not be eligible for a refund. This includes non-attendance by the registered delegate

3.4 In the event of a cancelation or significant relocation due to circumstances beyond our control, we shall not be liable for your travel, accommodation or other costs and expenses incurred (included wasted costs and expenses). Such circumstances can include but are not limited to: acts of God, floods, lightning, storm, fire, explosion, war, military operations, acts of terrorism or threats of any such acts, any strike action, lock-outs or other industrial action and a pandemic, epidemic or other widespread illness.

4. CONTENT

4.1 Content refers to any material (written, imagery, video, etc.) which is used as part of a delegate’s paper and/or presentation.

4.2 Delegates will not use Content in any way that might infringe third party rights or that may bring us or any of our affiliates into disrepute. Including plagiarism of any kind within their presentations and papers.

4.3 The Content presented by delegates at the conference does not necessarily reflect the PSA’s views or opinions.

4.4 To the extent that any Content made available to us online we reserve the right to suspend or remove access to such Content at any time.

5. LIABILITY

5.1 Subject to Clause 5.3, we shall not be liable for

(i) any loss of profit, loss of or damage to data, loss of anticipated savings or interest, loss of or damage to reputation or goodwill, loss or damage to personal property or;

(ii) any indirect, special or consequential damages, loss, costs, claims or expenses of any kind.

5.2 You agree to indemnify us, our staff and our affiliates and to hold us harmless to the fullest extent permitted by law, against all loss, costs, claims or expenses of any kind arising from any act or omission by you during or otherwise in relation to a conference.

5.3 Nothing in these Terms and Conditions shall limit or exclude either party's liability for:

5.3.1 death or personal injury caused by that party's negligence, or the negligence of that party's employees, agents or subcontractors;

5.3.2 fraud or fraudulent misrepresentation; or

5.3.3 any other liability which cannot be limited or excluded by applicable law.

6. GENERAL

6.1 You accept that by registering for the conference that we will contact you via electronic/digital communication methods, such as emails and messages on the Ex Ordo platform in order to inform you of matters relating to the conference and other matters which the PSA has identified as within conference delegate interests.

6.2 By agreeing to these terms and conditions, you confirm that you will not share any content available to delegates via the conference platform externally, which includes not sharing any Zoom links for live sessions found in the final programme.

6.3 By attending the conference, you agree to the PSA sharing any content that may include your imagery (videos, photos, graphics) unless you have specifically requested otherwise.

6.4 These Terms and Conditions and the rights and obligations of both parties shall be governed by, and construed in accordance with, the laws of England and Wales and both parties irrevocably agree to submit to the exclusive jurisdiction of the courts of England and Wales in respect of any dispute which arises hereunder.

7. POLICIES

7.1 By registering to attend the conference you confirm that you have read and accepted the above clauses and will also adhere to the PSA’s codes of practice and conduct as laid out on our website here: /legal-and-governance-documents

7.2 We reserve the right to remove you from the conference and rescind your delegate credentials (without a refund) or take other appropriate action if you are found to breach the PSA’s Codes of Practice and Conduct.
